Executive Assistant (Melbourne Convention Bureau)

The opportunity

We have a rare and exciting opportunity for an Executive Assistant to provide high level, confidential administrative support services to the Chief Executive Officer of the Melbourne Convention Bureau (MCB).

This is a challenging and dynamic role, where you will also assist the Leadership Team and the broader MCB team.

This role is ideal for someone with senior administration experience, who has an interest in or has had exposure to major events, exhibitions and conferences.

Key responsibilities:

  • Coordinate Board meetings and prepare timely and accurate correspondence, including agendas, board papers and minutes 
  • Provide extensive diary management including coordinating a busy schedule of meetings and domestic and international travel
  • Draft annual Executive budget in consultation with CEO, reconcile monthly credit card expenses for CEO and broader team
  • Undertake research and projects to support the activities of the Chief Executive Officer
  • Receive and prioritise incoming correspondence, prepare memos, briefing papers and communications on behalf of the CEO 
  • Act as a support to the broader MCB team, screen and attend to a range of enquiries and ensure follow up action

About you

We are looking for someone who has worked extensively as an Executive Assistant and who takes pride in their stakeholder engagement, ability to manage competing priorities and who is flexible  and calm in a fast paced and ever changing environment.

You must be confident cultivating and maintaining strong relationships with management, staff and a range of high profile external stakeholders across the events industry and Government

Our ideal candidate will relate to the following:

  • Extensive experience providing confidential support at C-Suite and Board level, including minute taking and preparing reports and correspondence
  • Highly developed oral and written communication, with the ability to liaise with a range of people with tact and discretion
  • Ability to undertake research and analysis of issues and provide resolutions and  recommendations
  • Advanced MS Office skills including Word, Excel & PowerPoint and other software
  • A relevant tertiary qualification in Business or Administration (highly regarded)
