Regional Events Coordinator

About the Role

To provide research, project coordination, marketing and administrative support to the Regional Events team who are responsible for identifying, funding and ensuring creative, culinary and sporting events and festivals to take place in regional Victoria.

Key Responsibilities

  • Support the development of business cases for new event opportunities including: preliminary assessment of EOIs; drafting of smaller Regional Events Fund contracts; servicing of contracts; and be the first point of contact for the Fund, working closely with the Manager, Regional Events Fund.
  • Support Regional Event funded event organisers with relevant information pertaining to the program and the event.
  • Coordinate stakeholder management meetings, event organising committee meetings, including preparation of agendas and presentations.
  • Undertake relevant research into prospective international events and prepare documents summarising findings as required.
  • Provide advice and marketing support to event organisers.
  • Coordinate the development of briefing folders and presentation aids (e.g. for Government meetings, presentations to event owner, etc.)
  • Liaise with external consultants, agencies and suppliers.
  • Support the development of bid documentation and Government submissions.
  • Support the communications function, including maintenance of the Company website, production of advertising and corporate collateral
  • Provide event coordination and communications support for regional event announcements including identifying and briefing the Ministers office on potential Ministerial opportunities

Know How

  • Outstanding written and verbal communication skills combined with strong administrative ability and high levels of attention to details.
  • Experience managing suppliers and monitoring performance and milestones.
  • Proficient in MS Office programs, including PowerPoint. Previous experience with InDesign and SharePoint would be useful.
  • Understanding of and exposure to regional Victoria major sporting and or cultural events.
  • Demonstrated research, analysis and reporting skills.
  • Previous experience, preferably in a major events, tourism, sport or project management context. 
  • Prior experience in project administration, including data base maintenance. 
  • Event or project management and stakeholder servicing would also be useful.
  • A tertiary qualification in any of the following: tourism, marketing, communications or advertising would be well regarded.

Other Information

  • This position has a requirement to work out of hours, and it will involve evening or weekend work including occasional overnight travel.
  • This position is based in our Melbourne Office
