Media and Trade Relations Coordinator 

Position Purpose 

Visit Victoria’s Familiarisations Program showcases compelling stories of Melbourne and Victoria to Media, Trade & Influencers through planned experiences.  The Media & Trade Relations role is focussed on managing and coordinating these visits, ensuring Melbourne and Victoria‘s key messages are amplified and our partners become ambassadors that inspire people to visit.  

This is a 12-month fixed-term position. 

Key Accountabilities

  • Project manage and deliver familiarisation visits on time and within budget for print, broadcast, online media, key influencers, VIPs and travel trade in accordance with the objectives of the visit brief, underpinned by Visit Victoria’s brand pillars and organisational marketing strategy, with limited direction.
  • Tailoring each familiarisation itinerary to the individual or group considering varied priorities, interests, languages and cultural backgrounds, while maintaining Visit Victoria’s Brand and amplifying attributes, products and events which differentiate Melbourne / Victoria. 
  • Represent Visit Victoria in hosting familiarisation visits, managing logistics, operational services and guests’ personal requirements, whilst ensuring appropriate safety and risk management considerations are in place.
  • Work collaboratively with internal and external stakeholders including Visit Victoria’s International Teams, PR agencies, Tourism Australia, Regional Tourism Boards, Federal, State and Local government agencies, tourism operators and partners.
  • Negotiate with Victoria’s tourism industry on rates and services to maximise the cost benefit and experience of each familiarisation visit and manage overall budget for each familiarisation.
  • Provide professional advice to media and travel trade, actively monitoring the delivery of tourism product and talent for media and provide specialist advice and recommendations to the broader organisation.
  • Prepare post visit and expenditure reports for internal and external stakeholders and provide qualitative recommendations in the evaluation of Victoria’s tourism product.
  • Engage and convey Visit Victoria’s familiarisation objectives and Brand to external guides escorting visits.  Provide logistical and operational advice and assistance.  

About You 

  • Highly developed organisational and administrative skills, ability to manage workload with limited direction, to prepare innovative and well-structured tour itineraries, manage project budgets, set priorities and work to deadlines.
  • Experienced in managing complex group dynamics with varied priorities, interests, languages and cultural backgrounds with a high level of tact, discretion and diplomacy.
  • Outstanding stakeholder management and relationship building skills, with the ability to influence, negotiate, motivate and manage internal and external stakeholders.
  • In depth understanding of Victorian tourism products and experiences and positioning in relation to Visit Victoria brand pillars and organisational marketing strategies.
  • High level innovative thinking, emotional intelligence, maturity and ability to respond to emerging situations constructively, whilst demonstrating adaptability and flexibility.
  • Well-developed understanding of Visit Victoria’s overall strategy, brand pillars and each markets’ marketing campaigns and activities.
  • Well-developed conceptual and analytical skills, ability to research, evaluate product, and to provide accurate advice to media and travel trade.
  • Exceptional oral and written communication skills, with great attention to detail, and ability to prepare and present high-quality reports and correspondence.
  • Drivers licence

Desired Qualifications

  • A tertiary qualification in any of the following: tourism, marketing, communications or advertising.

Position Specific Requirements

  • This position has a requirement to work out of hours, and it will involve evening or weekend work including occasional overnight travel.
