ATE20 Familiarisations Coordinator

About the Role

Visit Victoria’s Familiarisations Program is a key strategy to showcase compelling stories of Melbourne and Victoria to Media, Trade & Influencers through planned experiences. The ATE20 Familiarisations role is focused on managing and coordinating these visits as part of the ATE20 Familiarisations Program, ensuring Melbourne and Victoria’s key messages are amplified and that these key partners become ambassadors that inspire people to visit. This role is focused on leveraging your skills in travel, communications and itinerary planning, and your knowledge of Victorian product to coordinate and manage the ATE20 Familiarisation Program.

About ATE20

The Australian Tourism Exchange (ATE) 2020 is Australia’s largest annual travel and tourism event for trade businesses.  ATE20 is owned by Tourism Australia and presented in conjunction with Visit Victoria, its partner and the host state for 2020. 

The event brings Australian tourism businesses together with International travel buyers from around the world into one forum where business is negotiated and signed. Additionally, the event provides the international travel buyers with the opportunity to experience the best of Australia firsthand through specially created pre and post familiarisation trips.

Key Responsibilities

  • Project manage and deliver familiarisation visits for ATE20 International Buyers, VIPs and Media within deadline and budget in accordance with the objectives of the ATE20 strategy, underpinned by Visit Victoria’s brand pillars and organisational marketing strategy, with limited direction.
  • Tailoring each familiarisation itinerary to the group considering varied priorities, interests and cultural backgrounds, while supporting our destination Brands (Melbourne and Regional Victoria) and taking direction from Visit Victoria’s international offices.  
  • Represent Visit Victoria in managing logistics, operational services and guests’ personal requirements, OH&S and risk management. 
  • Work collaboratively with internal and external stakeholders including Visit Victoria’s International Regional Managers and Market Development Managers, Visit Victoria’s PR agencies, Tourism Australia, Regional Tourism Boards, State and Local government agencies, tourism operators and strategic partners. 
  • Negotiate with Victoria’s tourism industry on rates and services to maximise the cost benefit and experience of each familiarisation visit and manage overall budget for each familiarisation.
  • Advise, guide and direct new and existing tourism operators in the promotion of their business through the ATE20 Familiarisations Program.
  • Prepare post visit and expenditure reports for internal stakeholders and provide qualitative recommendations in the evaluation of Victoria’s tourism product.
  • Engage and convey Visit Victoria’s familiarisation objectives and destination Brands to external guides escorting visits. Provide logistical and operational advice and assistance.  

Your Experience

  • Highly developed organisational and administrative skills, ability to manage workload with limited direction, to prepare innovative and well-structured tour itineraries, manage project budgets, set priorities and work to deadlines.
  • Experienced in managing complex group dynamics with varied priorities, interests, languages and cultural backgrounds with a high level of diplomacy.
  • Outstanding stakeholder management and relationship building skills, with the ability to influence, negotiate, motivate and manage internal and external stakeholders. 
  • In depth understanding of Victorian tourism products and experiences and positioning in relation to Visit Victoria destination Brands and organisational marketing strategies.
  • High level innovative thinking, emotional intelligence, maturity and ability to respond to emerging situations constructively, whilst demonstrating adaptability and flexibility.
  • Well-developed understanding of Visit Victoria’s overall strategy, destination Brands and each markets’ marketing campaigns and activities.
  • Well-developed conceptual and analytical skills, ability to research, evaluate product, and to provide specialist advice to media and travel trade.
  • Exceptional oral and written communication skills, with great attention to detail, and ability to prepare and present high-quality reports and correspondence.
  • A Tertiary Qualification in any of the following: Journalism, communications, public relations, tourism or marketing would be well regarded.

  • Current Driver Licence  
  • This position has a requirement to work out of hours, and it will involve evening or weekend work. 
  • The successful candidate must be available to work through 1 May 2020 to 21 May 2020 – the period the Familiarisations are held.
  • This is a fixed term position
